For new Courses and Course revisions being introduced in 2011 and beyond


myUNSW Academic Admin tab
As agreed at Academic Board in December 2009, all proposals for new and revised courses for introduction in the 2011 academic year are to be developed using the new service.


What is Academic Proposal Management?

Academic Proposal Management, accessed through myUNSW, allows academic staff in Schools and Faculties to develop new course proposals and course revisions online, and then submit them for online endorsement.

The service, part of the planned MAPPS project (Management of Proposals and Portfolio System), replaces the current paper-based system of proposal submissions for new and revised courses (and later on, new and revised programs).

The Academic Proposal Management service has been developed as a collaborative project between Academic Administration - PVC (Students), and the School of Computer Science and Engineering. Design and other support has been provided by COFA and FASS.

The service released in early March is fully-functioning, however it should be regarded as a Beta Release, reflecting its development through iterative prototyping. Improvements will be made in the months following initial release. Essentially, our aim is to constantly improve and develop the service in collaboration with users so that it meets your needs. Therefore, your feedback is encouraged to help us improve the user experience of developing academic proposals.


Who will use the Academic Proposal Management service?

  • Academic staff: to develop new or revise existing courses, or to review colleagues’ proposals;
  • Heads of School: to review and endorse proposals;
  • Committee Presiding Members: to record Committee decisions;
  • Faculty Admin staff: to support academics, heads of school, and committee PMs;
  • Librarian, Director and staff in Academic Admin, Office of the Executive Director (F&O), Staff in Governance Support: to review and/or endorse proposals.

When can staff start using the Academic Proposal Management service?

Right now. The Academic Proposal Management system is now available for staff wanting to develop new course proposals and course revisions targeted for the 2011 academic year.


Where can staff find the Academic Proposal Management service?

The service can be accessed in myUNSW under the Academic Admin tab > Student & Academic Admin channel. For greatest stability we recommend using Firefox or Safari browsers initially.

Where can staff get help using the Academic Proposal Management service?

Staff have access to a user guide in the UTES website (log in to myUNSW and go to the Academic Admin tab > Student & Academic Admin channel to find UTES). Further one-on-one training can be provided to staff on request.

The Academic Proposal Management system has been designed to be intuitive and easy to use. Where possible, drop-down menus, radio buttons, and predictive text have been provided for faster completion of the form. Question mark icons have been placed throughout the proposal form providing detailed information about certain items, and user tips are given alongside some sections to assist you with completing the form.

There is a Site Feedback link accessible on every page (bottom footer), for requesting help or reporting any technical or usability problems. We also encourage you to provide general feedback on what you think of the site so that we can work on improving the user experience.


Can staff still user paper-based proposal forms to submit Course Proposals?

No. All new course proposals and revisions targeted for the 2011 academic year are to be developed in the Academic Proposal Management system. The current paper-based forms for new course proposals and course revisions are no longer in use or accepted.

Program proposals will be incorporated into the Academic Proposal Management system sometime later this year, but until this service is delivered, paper-based program proposals will be accepted. Staff will be notified when they can begin developing program proposals in the Academic Proposal Management system.
